Pediatric Protocols Available 24/7:

You can access our mobile-friendly website for protocols at any time! These protocols that have been written by the physicians of Hilliard Pediatrics. This resource is designed to help provide education regarding various childhood illnesses and injuries as well as common childhood topics such as nutrition and safety. They provide suggestions for things you can try at home and guidance for when your child should seen by a healthcare provider.

Some of our most commonly used protocols are:

Office Hours

Our regular office hours are Monday through Friday, 9am – 5pm for routine well childcare and sick visits. Our phones are off from 12pm – 1:30pm daily for lunch. Emergency advice is available after 5pm on weekdays and throughout the weekend. Please take a look at our protocols listed on our website before calling the provider on call as many questions and concerns can be answered there.
We offer simple sick/“walk-in” hours from 8am – 9am Monday through Friday. These appointments are on a first come, first served basis. Please note that we ask that your child is seen in our office for a scheduled appointment prior to using our simple sick hour so that we have more time for the initial appointment. This hour is reserved for acute illnesses such as sore throat, earache, rash, etc. Chronic or ongoing conditions take more time and should be pre-scheduled with our nurses.
- To utilize our simple sick hour, you will register from our website upon arrival to the office. Please click on the link that says Simple Sick Registration.
Saturday mornings are reserved for same day acute illness visits. These are not scheduled in advance and are not for chronic conditions. Our phones come on at 9am on Saturday and appointments are first come, first served. We do not offer walk-ins or routine visits on Saturdays, please call to speak with a nurse if you feel your child needs to be seen.

Secure Two-Way Texting:

We offer secure two-way texting. If you have a non-urgent question or would like to schedule your child for an appointment, you can now send a text message to 614-500-4045. Please include your child's name, DOB, and your relationship to the child along with a brief description of your question or reason for scheduling and a staff member will respond to your text during regular business hours.

Vaccination Schedule:

Our providers strongly believe in the power of vaccines and follow the CDC vaccination schedule with all of our patients. You can find a copy of our office's Vaccine Policy and the Vaccine Schedule for routine immunizations (and their vaccine information sheets) on our website.

Pediatric Nurse Triage:

Hilliard Pediatrics has nurses available to answer parent questions and concerns during regular business hours. You can reach our nurses by:

Phone Call/Message: Please call 614-777-1800 and select option 1 during regular business hours. You will leave a message so that our nurses can triage the calls appropriately. Calls requiring a same day appointment will be returned in the order in which they are received.
- When leaving a message, please be sure to include your name, your child’s name, your child’s date of birth, a brief description of the reason for your call and your phone number.
- All calls left before 4pm during regular business hours will be returned same day.
Text Message:
- Send a text message to 614-500-4045. Please include your child's name, DOB, and your relationship to the child along with a brief description of your question or reason for scheduling and a nurse will respond to your text during regular business hours.

Office Policies and Procedures:

We know that navigating the healthcare system can be confusing and every office does things a little different. To help, we wanted to share some of our office policies and procedures to let you know how things are typically handled in our office. This list covers a few of our frequently asked questions, but if you have questions please reach out to our office during regular business hours and our staff would be happy to assist.

A parent/legal guardian should accompany their child (children) for all appointments. If the parent/legal guardian is unavailable, they may provide consent for another adult to bring their child to the appointment. However, we ask that a parent is available by phone to answer any questions that may arise or give consent for any vaccinations.
Outside of our morning walk-in/simple sick hours, all visits are by appointment only. We are not able to see walk-in patients and cannot triage at the front desk.
Questions for our pediatric nurses or requests for scheduling non-routine appointments are by call-in or secure text only. All messages received by 4pm during regular business hours will be returned same day.

We have nurses answering parent questions and concerns during regular business hours. There are a few ways to reach our nurses:
- Call our office during regular business hours and press option 1. You will leave a message and they will return your call in the order in which it was received. Please leave your name, child's name, date of birth, a brief description of what you are calling about and the best number to reach you at.
- Text us at 614-500-4045. Please include your child's name, date of birth, a brief description of what is going on as well as your name and relationship to the child. Staff will review and respond to messages during regular business hours.
- For non-urgent questions, you can also send a portal message that will be returned within 1-2 business days.
When you call to schedule any visit that isn’t your child’s routine well appointment or a routine follow-up appointment, we ask that you schedule that with our nurses. Please see the options for scheduling above.
- For acute illness, we try to schedule you with your child's PCP, but depending on the schedule, we may need to schedule with another provider. We can typically schedule a same day appointment for these visits, but it is best to call early in the day.
- If the problem is ongoing or more complicated in nature, these issues are best addressed with an appointment with your child's PCP.

We follow the American Academy of Pediatrics’ Bright Future recommendations for well-child care. This includes spacing of well-child visits as well as screenings and assessments recommended at each well-child visit from infancy through adolescence.
- Most insurance plans follow the Bright Future recommendations and will cover these visits, immunizations, and screenings at 100%, but we always recommend checking with your individual policy for restrictions.
Our providers prefer to see their own patients for well visits to maintain continuity of care so well visits will be scheduled with your child’s PCP.
In order to ensure each child receives quality care, we limit well visits to no more than 2 children at one time. Likewise, if only one child is scheduled for an appointment, we cannot see a 2nd child at that time unless they are scheduled in advance for their own appointment.
Our office schedules up to one year in advance for well visits. Summer is our busy season for well visits and our most in demand appointment times are before 10am and after 3pm. If you would like to schedule during the summer or during one of our more in demand times, we recommend scheduling your next well at check-in.
- For those under the age of 3, you can schedule the next several
  appointments to stay one year ahead.

Most forms can be completed when your child comes in for an appointment. Two forms that often need completed are the Ohio Daycare form and the OHSAA sports physical form. We keep copies of these in the office but ask that you bring in any other forms that need to be completed as many are specific to the school district or program.
For standard forms requested outside of an appointment, there is a form completion charge of $10 per form.
For FMLA forms the charge is $25 and these cannot be completed at an appointment.
Copies of immunization records are provided free of charge.
Requests for medical records must be authorized in writing and we provide one copy on a CD free of charge. Additional requests will be $6.50 or a per page rate if you want printed paper copies.

Please allow 2-3 business days to refill the medication prior to your child running out of meds.
Due to the number in incorrect refill requests we receive from pharmacies, we do not refill medications by pharmacy request. If received, we will attempt to reach out to the legal guardian to see if the refill is needed.
To request a refill of your child’s medication, you can:
- Text: Send a text message to 614-500-4045.
- Call: During regular business hours, call 614-777-1800 and select option 3 for the prompted refill line.
  - If you are using the prompted line, we recommend calling from a quiet area as it listens for silence before continuing to the next
    prompt.
- Patient Portal: From you guarantor account, you can access your child's account and request medication refills directly from the app.
Please make sure you include your name, relationship to the patient, the name of the medication(s) that needs to be refilled, preferred pharmacy, and a phone number you can be reached at in the event there are questions.
Note: we will only reach out if there are questions or we are unable to fill a medication. Please allow 2-3 business days for all refills as the child's PCP completes medication refills. If they will be out of the office another provider will send in refills when possible. We recommend turning on notifications with the pharmacy to be alerted when the prescription is ready to be picked up.

Most insurances are accepted, with the exception of Medicaid. Please contact your insurance carrier to determine if we are participants.

Copays are due at the time of service. These are mandated by your insurance carrier and we are required to collect them. The person/parent bringing a child for an appointment is responsible for the copay that day. There is a $5 charge for copays not paid before a statement is generated (typically at least 10 days from date of service) for the balance.
If you are in need of assistance with paying your balance, we offer payment plans free of charge.
Any questions regarding billing statements should be directed to our billing department, option 5, during regular business hours.

Forms:

To help with your transition to our practice, we have included our new patient registration packet and a form to request a copy of your child’s medical record. You can drop these off at the office, bring them to your first appointment or text us at 614-500-4045 and we can send you a link to securely upload them.
